Introduction
What is Kontent.ai?
Kontent.ai is Councils main CMS and covers many sites, including the main corporate site. It utilizes roles, workflows, and collections as the main way of organizing content, who can add content and how does said content get added. Roles are the people creating content, workflows are how the content basically gets to the live site, and collections is the sites, their content etc and who can access them.
Current Workflows & Roles
First step was understanding the current Workflows & Roles and basically a rundown of how everything works.
Understanding how content gets managed, added and who is involved at any point. It also helps at this point early on to know how it currently works as naturally I can start to think and see issues or solutions.
Problems
After getting an amount of understanding I started to list out some general issues I could see with it myself.
Note of course I got a good explanation but I may not understand everything correctly or some minor details get left out end up mattering more can all contribute to not understanding the true nature of issues. But I think this is the correct step, creating something rather then lead with nothing and basically just repeating the "yeah you do have a problem" instead "Hey these seems to be some issues with it currently, would I be correct? am I missing anything?" I think leads to a more collaborative approach. Naturally people want to correct or add anything missing but also makes it seem a bit easier then starting from nothing.
Current Roles & their issues
At this point I had an understanding of the Workflows, Roles, and issues. I now invite people in the Web team to collaborate, correct, and add anything I missed.

Card Sorting the Issues
With people adding and updating the issues for each role I started to notice some similarities and trends. Deciding to organise them into groups to better understand which roles are affected.
I understand the issue for each role and utilized AI to summarize the problem itself then I checked it of course and started to group the issue with the category. This should help the web team more easily identify what issues affect each role.
Proposed Changes
I then drafted some new Workflows & Roles for my team lead to review and implement when they were ready to.
